In the Head Office of SHV Energy we have 4 Personal/Management Assistants supporting our Board of Management and Senior Management in their day-to-day activities.

Due to the upcoming holiday season and longterm absence of one the Personal Assistants, we are urgently looking for an interim Management Assistant to bridge these periods of absence and safeguard the proper support to our Board of Management. At this point in time, we anticipate the period will last around 2 to 3 months.

The main responsibilities are:

  • Setting up and maintaining office systems, including data management and filing
  • Arranging travel, visas and accommodations
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority (hospitality)
  • Organising and maintaining complex diaries and making appointments
  • Dealing with incoming email and post, often corresponding on behalf of the manager
  • Producing documents and presentations
  • Organising meetings and ensuring the manager is well prepared for meetings
  • Organising conferences/workshops for larger groups in one of the countries the company is operating in
  • Liaising with other staff and colleagues around the world

Job requirements

The ideal candidate has the following assets:

  • Bachelor degree level of intellectual and professional ability; at least 5 years of relevant work experience
  • Able to work in a high paced environment and deal with lots of activities at the same time
  • Excellent knowledge (both written and oral) of the English language
  • Excellent computer skills, MsOffice Suite experience is considered a value add
  • Excellent communicator, able to establish good working relationships at all levels
  • Service minded; Accurate; Proactive; Flexible; Discrete
  • Energetic, team player with a positive attitude and a good sense of humor
  • Board experience is an advantage
  • Fulltime availability
